What Is VoIP? A Plain-English Guide for Business Owners

VoIP stands for Voice over Internet Protocol. In plain terms, it means your phone calls travel over your internet connection instead of over traditional copper phone lines. The person you are calling doesn’t notice any difference — they can be on a landline, a mobile or another VoIP phone — but for your business the change opens up a lot of flexibility.

How a VoIP call works

When you speak, your phone turns your voice into small packets of data, sends them across the internet to your provider, and the provider connects the call to the public phone network. It all happens in milliseconds. Because the “phone system” lives in the cloud rather than in a box in your telecom closet, this setup is often called a hosted PBX.

What you need

  • A reliable internet connection. A single call uses very little bandwidth, but stability matters more than raw speed.
  • A device to call from. That can be an IP desk phone, an app on your mobile, or a softphone on your computer.
  • A provider. The provider hosts the system, supplies your phone numbers and routes your calls.

What you get that a landline can’t do

Because calls are handled by software, features that used to require expensive hardware become simple settings: an auto attendant that greets callers, ring groups so Sales or Reception phones ring together, voicemail delivered to your email, call recording, and time conditions that route calls differently after hours. Your number also follows you — answer on your desk phone at the office or on the mobile app on the road.

What to look for in a provider

  • Clear per-month pricing with the features you need included.
  • The option to keep your existing number.
  • Help with setup, and real people to call when you need support.
  • A secure network, especially if you take payments over the phone.
